DEPOSITS AND PAYMENT POLICY PAYMENT SCHEDULE 2.
- A first deposit of the total of the wedding couple stay will be required to formalize the contract and it is not refundable in case of cancelation of this agreement.
- The group shall pay an initial administrative deposit fee of a 20% of their stay in order to reserve (per room).
- The final balance must be pay in full at least forty (45) days prior to arrival (80% of the total amount).
- ROOMING LIST
Group shall submit the rooming list to the Hotel no later than 45 days before the arrival of the guest.
- TERMS & CONDITIONS
The following terms and conditions shall be applicable for any group enrolled in the Palladium “WEDDING PASSKEY” program at any of the participating properties: Grand Palladium Hotels & Resorts, Family Selection & TRS Hotels in Mexico, Jamaica and the Dominican Republic. (hereinafter the “Hotel”) pursuant to the signed Group Contract Form. References in this document to “Group” shall mean the social group indicated on this Group Contract.
- Individual: individual reservation policy
- Each guest is responsible for securing their reservation. This will be made online through the personalized link that will be provided once the signed contract and initial deposit are received.
- Link creation can vary from 3 to 4 weeks.
- Reservations will be guaranteed through payment with a Mastercad or VISA credit/debit card, which must be valid at least until the arrival date.
- Only 1 credit card will be accepted for payment of each reservation.
- Guests will be responsible for their additional charges. Full payment is required for each guest.
- Personal checks are not accepted at the Hotel.
- American Express only applies when paying at the hotel, you must present an identification card and the signature on the card must match the identification. The charge is in local currency at the exchange rate of the day.
- Each guest is responsible for securing their reservation. This will be made online through the personalized link that will be provided once the signed contract and initial deposit are received.
- Cut-Off Date: Rooms not guaranteed must be released at least 45 days before the group's arrival. Any extension to the cut-off date must be requested a minimum of two weeks before said date expires and will be subject to availability. The guarantee of the rooms will be made with a deposit.
Note: “The Hotel” reserves the right to cancel this agreement without prior notice, if the deposits are not received on the previously stipulated dates, therefore “the Hotel” will not have the obligation to provide any service, nor block in any way. definitive rooms or area for events indicated in this contract.
- GUEST ROOM COMMITMENT
Group shall be responsible for utilizing the room nights in the pattern set forth in the Group Contract as the Group’s Room Night Commitment.
- A group is considered of 10 rooms for 3 peak nights or more.
- Early Arrivals/Late Departures can be cumulative, to reach the Minimum of 30 Room Nights, to get such Comps/Amenities.
- GUEST ROOM RATES
The following terms and conditions will apply to the Guest Room Rates set forth in this Group Contract:
- Room Rates
- ALL INCLUSIVE: Rates are per person per night under the all-inclusive plan concept, based on the corporate standards of PHG, all applicable taxes and gratuities included. Subject to change without notice. Should any government agency adjust these taxes or assess additional taxes before the Group’s arrival date, the same shall be added to the rates contained therein.
- An additional surcharge per person will be applicable for each private function requested by the Group. The group shall contact the Group Sales Manager at the Hotel for details.
- Any reservations received after that date will be subject to availability and the best available rate will be offered. CHECK-IN/OUT: The check in time is 3:00 pm. The check-out time is 12:00 pm. Late check-out subject to availability and subject to additional charge.
- Room Accommodation:
- OCCUPANCY PER ROOM: A Maximum number of persons allowed per room will apply as per our group contract.
- Each room must be occupied by at least 01 adult over 18 years old.
- For 01 adult sharing with 01 child, the double occupancy rate will apply (as in 02 adults)
- If additional suites or other specific room types are needed, a written request and written confirmation will be required; PHG allows to use same contracted rates for up to 20% of the room block and any room increase beyond 20% of the room block prevailing rates apply.
- The maximum number of people allowed per room will apply per contract.
- For a Family Selection Room, the rates include up to 2 kids/teens (3-17 years old) free in the nightly rates when sharing with 2 adults.
- For Suite Private Pool at GP Jamaica, allow a maximum of 3 adults.
- The maximum occupancy per room is four people (4) regardless of age. Triple and quadruple occupancy is limited to the number of rooms with double beds available in the Hotel. If you require a large number of rooms in this category, group contract with lock is required.
- Discounted rooms for staff, upgrades and calculations for complementary rooms are based on the group's final production and not the initial room block.
- OCCUPANCY PER ROOM: A Maximum number of persons allowed per room will apply as per our group contract.
- Connecting rooms: For a Connecting Suite, the minimum occupancy is 3 guests (regardless ages it will be paying double rates per person) for additional guest Extra Pax or Children rates apply,
- Additional rooms: If additional suites or other specific room types are needed, a written request and written confirmation will be required to amend this Group Contract.
- No shows: No show reservations and early departures will be fully charged (100% cancelations charges).
IMPORTANT: Partner/Tour Operator does not have the right to continue selling above the room block without the approval of the Palladium Groups-Revenue Team. Palladium Hotel Group reserves the right to approve or not the availability at the terms & conditions detail in Clause: d).
- Children’s policy:
- Childrenunder 2 years old are free when sharing a room with one or two adults.
- Children from 3-12 years old pay 50% of double adult rate, Teens between 13-17 years old pay the same rate as Extra Pax.
- FAMILY SELECTION CATEGORY: For Family Selection Room (where applicable), the rates include up to 2 kids/teens (3-17 years old) free in the nightly rates when sharing with 2 adults.
- PALLADIUM HOTEL GROUP (PHG) will honor:
- The same room Rate up 120 days prior to group’s arrival, if hotel’s availability permits it, and limited to a maximum of 20% more from the original room quoted, if:
- Group need to add more rooms.
- Stay extensions: 3-days on pre-arrival and 3-days post-departure dates of the group.
- Any additional request after this will be offered to Partner at the prevailing market rates.
- Additional Room request will be valid at the same contracted net group rates and room categories, if it is made within 120 days prior to the group’s arrival, and the occupancy is below 80%. This does not apply to web exclusive room categories.
- The same room Rate up 120 days prior to group’s arrival, if hotel’s availability permits it, and limited to a maximum of 20% more from the original room quoted, if:
- Individual reservations:
- Individual reservations made through other tour operators and/or online sales agencies will not be credited to the blocking of contracted rooms or to the calculation of amenities. Additional charges will apply without prior notice.
- Other additional charges: An additional surcharge per person will be applicable per each private function requested by Group. Group shall contact Group Sales Manager at the Hotel for details.
- PARTNER RESPONSIBILITIES. It is the responsibility of “THE CONSUMER”, to inform the Group Leader (Bride/Groom if this is a Wedding) that:
- This contract is not combinable with any other promotion in place.
- Attendees may find lower rates/promotions in others Website for a fast promo.
- Due to the Special Group Concessions & Complimentary Paxs/Rooms, Groups are not eligible for a Price Match against Palladium’s website.
- Guests booked outside of this agreement must pay the Day-Pass to attend Group’s Functions & Events, unless written authorization from Palladium Hotel Group.
- Special Rates for Palladium Rewards Loyalty Programs are only available to our Loyalty Program Members and are valid for individual bookings only, made through our web page.
- PalladiumHotelGroup.com: due to short term cancellations or special circumstance, the resort may offer restricted discounted rates or non-refundable rates to public through our webpage for individual bookings only. These rates are limited to small room inventory, and they are not applicable for groups.
- Once contract is signed Groups do not qualify to a rate revision or additional discounts unless written authorization from Palladium Hotel Group.
- GUEST RESPONSIBILITIES:
- All Guests are responsible for ensuring their reservation, this will be done online through the personalized link that will be provided once the signed contract is received. The creation of the link and code can vary from 72 hours to 1 week.
- All Guests are obligated to make an advanced deposit upon check-in to cover all incidental services and/or any damage caused by the Guest during his/her stay. Minimum amount required may vary from one hotel to another.
- In the case that the Hotel has suffered any damage due to the intention or fault of the Guest, the Guest will be fully responsible to compensate the Hotel for any damages caused to the property and/or to other Guests.
- The hotel does not assume any responsibility for damages or losses of any goods or articles brought into the hotel, left outside of the safe deposit box, which is either located in-room or in the Hotel’s Front Desk.
- SPECIAL GROUP CONCESSIONS & COMPLEMENTARY ROOMS
In consideration of the entire value your Event brings to the Hotel, we are pleased to offer the following concessions based on the achievement of 85% or greater of your Anticipated Sleeping Room Revenue and Food and Beverage Minimum as set forth in the Performance policies. If the Anticipated Sleeping Room Revenue materializes at less than 85%, the concessions will be reduced proportionately at the discretion of the Hotel or, at your request, provided and charged to your Master Account at retail value, in addition to any damages owed under the Performance policies.
IMPORTANT: Concessions in this Group’s Contract cannot be combines with any other special agreement signed between the Travel Agency, Wedding Planner or Partner and the hotel, unless otherwise agreed and written authorization from PHG. Group will enjoy the following concessions, provided Group utilizes a minimum of ten (10) rooms sold depending on the season:
- One (1) complimentary room for every 20 rooms paid (21st room complimentary), based on double occupancy, daily basis, and applies to the lowest total value rooms with a maximum of 4 complimentary rooms per group (non-cumulative basis).
- One (1) complimentary room upgrade to next category at the group rate per every 15 rooms paid (#16th) nightly during the dates you meet the minimum number of rooms required with a maximum of 4 complimentary rooms per group (during official event dates)
- If you book 6 months before, promotion is guaranteed (by contract)
- If you book with less than 6 less, it is subject to availability.
- The upgrade applies to the majority room category booked and for the group’s average length of stay. If no majority exists, the upgrade will apply to the lowest room category. Upgrades are subject to availability and may be limited to specific room categories and exclude certain suite types.
- Group check-in Private check-in when group arrives together.
- Group must arrive together- before 5:00 pm. After this time check-in will be in the hotel lobby)
- Must be requested at least 14 days prior to your arrival at the hotel.
- One (01) amenity at chef´s selection for the Group tour leader.
- Must be requested 10 days before.
- One (1) semi-private dinner for groups of 10 rooms or more (max of 40 people).
- Must be requested 14 days prior to arrival.
- Welcome drink during private check-in.
- 15% discount on SPA services including, massages, body treatments, facials services for groups (Hair and makeup are not included)
- Complimentary WIFI internet in sleeping rooms, public areas, and meeting space.
- Complimentary access to the fitness center during normal operating hours.
- Group Coordinator during the whole stay.
- Cancellation Conditions according to Group Terms and Conditions.
- ALL INCLUSIVE PLAN
The following services and amenities are included as part of the “All Inclusive Plan” offered by hotel:
- Fine dining options at à la cart and gourmet buffet restaurants as well as room service.
- Room Service is subject to delivery service fees.
- Unlimited alcoholic and non-alcoholic beverages and snacks at lounges and bars. All food and drinks are offered in the Hotel's restaurants and bars and are available during regular hours of operation.
- Top-notch entertainment featuring live music and performances.
- Chic Cabaret Dinner-Show is complementary for guests staying at TRS Hotels (where available), Reservation’s Fee/Cover Charge will apply. Additional cost applies for guests staying at Grand Palladium or Family Selection properties.
- Daily and nightly activities
- Fitness center, spectacular pools, and kid’s water park
- Basic Wi-Fi internet access in public areas and rooms.
- All resort taxes and gratuities
- Unused parts of the All-Inclusive Plan are not refundable and are not interchangeable with other services.
The following services and/or amenities are not included as part of the “All Inclusive Plan” offered by hotel:
- Events and Private functions for groups
- Private events and in-room hospitality service.
- Meeting Room Rental and Audio-visual Equipment Rental.
- Laundry / Dry Cleaning charges.
- Wine Bottles, Lobster, Room Service Fees, or Chic Cabaret’s Reservation/Cover Charge.
- Airport transfers
- Items of personal nature:
- Gift shop purchases; Cigarettes & cigars
- Spa services and treatments
- Local/ long distance telephone charges
- Tour Excursions/Golf: green fee, cart, driving range, shoe rental etc.
- All lessons: tennis, water sports, scuba, golf, etc.
- Any other incidental charges not included in our All-Inclusive concept.
- Room delivery.
- DEPOSIT & PAYMENTS

- Foreach reservation an initial administrative deposit fee of a 20% of their stay must be pay in order to reserve (per room).
- The final balance must be pay in full at least fourty (45) days prior to arrival (80% of the total amount).
- REMITTANCE
All payments shall be made in United States Dollars (US$). Hotel will not accept personal checks or Pay Pal paymets.

- CANCELATION AND NO-SHOW POLICIES
Below is the cancellation and no-show policy that shall be applicable to Group:
- Cancellation- Attrition Schedule (Group performance)
- the initial deposit administrative fee will be retained by hotel.
- 45 days or less prior to arrival cancelations and/or no-show, all deposits are retained by the Hotel.
- All reductions and cancellations must be made in writing before the stipulated date. Reductions and cancellations made verbally are not valid.
- NO SHOW
- No shows and early departures ARE NON-REFUNDABLE of any firm and the charge will be for the entire stay reserved.
- All early departure will not be subject to reimbursement of any kind, the charge will be for the entire stay as established in the contract, as well as the rooms reported in the rooming list.
- TRAVEL INSURANCE PROTECTION: Partner must make sure to sell the Travel Insurance Protection to Passenger, so, he/she can be protected/covered in the event he/she has to cancel his/her trip for any reason. Palladium Hotel Group will not waive any penalties (after the deadlines established in the contract have expired). Passenger(s) will need to dispute any claim directly to the Travel Protection Insurance, not to Palladium Hotel Group.

- The upgrade applies to the majority room category booked and for the group’s average length of stay. If no majority exists, the upgrade will apply to the lowest room category. Upgrades are subject to availability and may be limited to specific room categories and exclude certain suite types.

- One (01) amenity at chef´s selection for the Group tour leader.

- Welcome drink during private check-in.
- 15% discount on SPA services including, massages, body treatments, facials services for groups (Hair and makeup are not included)
- Complimentary WIFI internet in sleeping rooms, public areas, and meeting space.
- Complimentary access to the fitness center during normal operating hours.
- Group Coordinator during the whole stay.
- Cancellation Conditions according to Group Terms and Conditions.
- ALL INCLUSIVE PLAN
The following services and amenities are included as part of the “All Inclusive Plan” offered by hotel:
- Fine dining options at à la cart and gourmet buffet restaurants as well as room service.
- Room Service is subject to delivery service fees.
- Unlimited alcoholic and non-alcoholic beverages and snacks at lounges and bars. All food and drinks are offered in the Hotel's restaurants and bars and are available during regular hours of operation.
- Top-notch entertainment featuring live music and performances.
- Chic Cabaret Dinner-Show is complementary for guests staying at TRS Hotels (where available), Reservation’s Fee/Cover Charge will apply. Additional cost applies for guests staying at Grand Palladium or Family Selection properties.
- Daily and nightly activities
- Fitness center, spectacular pools, and kid’s water park
- Basic Wi-Fi internet access in public areas and rooms.
- All resort taxes and gratuities
- Unused parts of the All-Inclusive Plan are not refundable and are not interchangeable with other services.
The following services and/or amenities are not included as part of the “All Inclusive Plan” offered by hotel:
- Events and Private functions for groups
- Private events and in-room hospitality service.
- Meeting Room Rental and Audio-visual Equipment Rental.
- Laundry / Dry Cleaning charges.
- Wine Bottles, Lobster, Room Service Fees, or Chic Cabaret’s Reservation/Cover Charge.
- Airport transfers
- Items of personal nature:
- Gift shop purchases; Cigarettes & cigars
- Spa services and treatments
- Local/ long distance telephone charges
- Tour Excursions/Golf: green fee, cart, driving range, shoe rental etc.
- All lessons: tennis, water sports, scuba, golf, etc.
- Any other incidental charges not included in our All-Inclusive concept.
- Room delivery.
- DEPOSIT & PAYMENTS
- A first deposit of the total of the wedding couple is not refundable in case of cancelation of this agreement.
- Foreach reservation an initial administrative deposit fee of a 20% of their stay must be pay in order to reserve (per room).
- The final balance must be pay in full at least fourty (45) days prior to arrival (80% of the total amount).
- REMITTANCE
All payments shall be made in United States Dollars (US$). Hotel will not accept personal checks or Pay Pal paymets.

- CANCELATION AND NO-SHOW POLICIES
Below is the cancellation and no-show policy that shall be applicable to Group:
- Cancellation- Attrition Schedule (Group performance)
- the initial deposit administrative fee will be retained by hotel.
- 45 days or less prior to arrival cancelations and/or no-show, all deposits are retained by the Hotel.
- All reductions and cancellations must be made in writing before the stipulated date. Reductions and cancellations made verbally are not valid.
- NO SHOW
- No shows and early departures ARE NON-REFUNDABLE of any firm and the charge will be for the entire stay reserved.
- All early departure will not be subject to reimbursement of any kind, the charge will be for the entire stay as established in the contract, as well as the rooms reported in the rooming list.
- TRAVEL INSURANCE PROTECTION: Partner must make sure to sell the Travel Insurance Protection to Passenger, so, he/she can be protected/covered in the event he/she has to cancel his/her trip for any reason. Palladium Hotel Group will not waive any penalties (after the deadlines established in the contract have expired). Passenger(s) will need to dispute any claim directly to the Travel Protection Insurance, not to Palladium Hotel Group.
